We are partnering with an Oakland-based law firm to source a skilled Legal Assistant to perform hybrid legal secretary and administrative assistant duties on a temporary basis. This fully on-site role supports the firm’s leadership team by balancing legal and administrative responsibilities. The ideal candidate will have strong organizational skills, a proven ability to manage attorney support functions, and proficiency in legal technology.
Key Responsibilities
- Apply redlines to contracts, agreements, and other transactional legal documents with precision.
- Proofread, format, and edit legal documents to ensure accuracy, clarity, and consistency.
- Organize and maintain legal files using iManage (required), ensuring confidentiality and accessibility.
- Manage attorneys’ calendars, assist with scheduling meetings, deadlines, and filings, and handle timesheet entries.
- Save documents to databases, scan and upload files, and maintain internal filing systems.
- Coordinate events, prepare materials, and manage logistics for meetings and firm activities.
- Serve as a liaison between attorneys, clients, and external parties to facilitate communication.
- Perform general administrative tasks such as time entry, expense reporting, booking travel arrangements, and document submissions.
Qualifications
- 1+ year(s) experience as a Legal Assistant, Legal Secretary, or Administrative Assistant, with specific expertise in transactional law.
- Proven ability to apply redlines and manage document revisions effectively.
- Proficiency in iManage or similar document management systems (required).
- Strong organizational and multitasking skills, with experience coordinating events or schedules.
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Strong calendar management skills, with the ability to prioritize multiple deadlines.
- Familiarity with tools such as MS Office Suite, DocuSign, and Adobe Acrobat is a plus.
